Agreement

These terms apply when you book equipment from PartyandEventRent.com, which is operated by Party and Event Rent LLC, a Colorado limited liability company. Placing an order means you accept these terms. You must be 18 or older to rent from us.

Quotes and pricing

Prices are shown per day, per item. Your cart shows the full breakdown before you pay: rental subtotal, delivery, and Colorado sales tax at the rate for your delivery address. Delivery and pickup are a single flat $99 fee anywhere in our Denver Metro service area, and are free on orders over $1,000. Written quotes are valid until the expiration date shown on the quote.

Deposits and payment

We collect a 25% deposit to reserve your items and hold your dates. The remaining balance is due before or on delivery. Deposits are what secure your inventory, so we cannot hold dates without one.

Delivery and pickup

We deliver on the delivery date you select, inside the 1-hour window you choose, and pick up on your selected pickup date unless we agree otherwise in writing. Someone should be on site to show us where everything goes. Setup and teardown is included in the price of every item. The delivery area must be accessible for our truck and equipment.

Your responsibilities

• Keep equipment protected from weather when it is not in use.
• Use each item for its intended purpose only.
• Stack tables and chairs at the drop location before pickup.
• Rinse tableware and drinkware and return it to its crates.
• Obtain any permits your venue or city requires, including for tents.

Damage and loss

You are responsible for the equipment from delivery until pickup. Normal wear from an event is expected and never charged. Items returned missing, broken, or damaged beyond normal use are billed at repair or replacement cost, and we show you the item and the cost before charging anything.

Changes and cancellations

Contact us as early as you can to change or cancel an order. Cancellations 14 or more days before delivery receive a full refund of the deposit. Cancellations 7 to 13 days before delivery receive a 50% refund of the deposit. Inside 7 days the deposit is non-refundable because the inventory was held off the market for your dates. Adding items is welcome any time, subject to availability.

Weather, Wind & Tent Safety

Weather and installation decisions

Colorado weather can change rapidly and unpredictably. Party and Event Rent cannot guarantee weather conditions or the continued suitability of outdoor rental equipment for use throughout an event.

Party and Event Rent retains sole discretion to determine whether conditions are appropriate for the safe delivery, installation, modification, servicing, continued use, or removal of its equipment. We may delay, modify, refuse, discontinue, or cancel an installation or service when actual or forecasted wind, wind gusts, lightning, thunderstorms, precipitation, ground conditions, or other circumstances create a safety concern.

Safety decisions may be based on current conditions, weather forecasts, anticipated conditions, site conditions, tent configuration, anchoring method, sidewalls, manufacturer guidance, or other relevant factors. Unsafe conditions do not need to have already reached the event location for Party and Event Rent to delay or refuse installation.

Customers may not direct or require Party and Event Rent employees, contractors, or representatives to install, modify, dismantle, or service equipment when Party and Event Rent determines that doing so would be unsafe. Party and Event Rent is not required to dismantle, retrieve, or service equipment while dangerous conditions are occurring.

Temporary structure and severe-weather warning

Customer acknowledges that tents are temporary structures and are not designed or intended to provide protection from severe weather, including lightning, severe thunderstorms, or dangerous winds.

Customer is responsible for monitoring weather conditions throughout the rental period and for identifying an appropriate permanent shelter or evacuation location for guests before the event begins.

If severe or unsafe weather occurs or approaches, everyone must immediately evacuate the tent and seek appropriate permanent shelter. A tent should never be used as shelter from lightning or severe weather.

Wind safety depends on numerous factors, including wind speed and gusts, tent size and configuration, sidewalls, anchoring method, soil and ground conditions, surrounding structures, and manufacturer guidance. No particular wind speed should be interpreted as a guarantee that a tent is safe to occupy.

Party and Event Rent may establish operational limits for a particular tent or installation that are more conservative than manufacturer specifications or guidance and may require evacuation or discontinue use whenever Party and Event Rent determines conditions create an unacceptable safety risk.

Customer modification prohibited

Tents installed by Party and Event Rent, including poles, stakes, weights, ballast, ropes, ratchet straps, sidewalls, fittings, and other structural or anchoring components, may not be moved, removed, loosened, relocated, modified, or adjusted by the customer, event guests, venue personnel, or other third parties without Party and Event Rent's express authorization.

If a tent or its anchoring system is altered, damaged, disturbed, or moved, the tent must not be occupied until Party and Event Rent has inspected and approved it for continued use.

Customer must promptly notify Party and Event Rent if any tent, anchoring equipment, or structural component appears loose, damaged, displaced, or otherwise unsafe.

Weather-related cancellation and refunds

Weather and weather forecasts are outside Party and Event Rent's control.

Once equipment has been delivered or installation has begun, rental and installation charges are generally non-refundable because of rain, wind, lightning, thunderstorms, heat, cold, or other weather conditions, including circumstances requiring evacuation or discontinuation of tent use.

If Party and Event Rent determines before installation begins that actual or forecasted conditions make installation unsafe, we may delay, modify, or cancel the affected portion of the order. Amounts paid for equipment or services that are not provided may be refunded or credited at Party and Event Rent's discretion, less delivery charges, labor, permits, third-party rental expenses, payment processing costs, or other event-specific costs already incurred.

Safety determinations made by Party and Event Rent regarding its equipment and personnel are final.

Liability

Our liability for any claim related to an order is limited to the amount you paid for that order. We are not liable for indirect or consequential losses. Nothing here limits liability that cannot be limited under Colorado law.

Governing law

These terms are governed by the laws of the State of Colorado.
